How To Be Good At Written Communication

Written communication is the cornerstone of every business. If you can't write, you won't be able to publish anything for your audience to read. And if your writing isn't good, it doesn't matter how many times you publish something or how much money you spend on advertising—your audience won't want to read it anyway. But if you're struggling with writing copy that's smooth, engaging and easy-to-read? Well, I've got just a few things to say:

Write Like You Are Talking To One Person

Write like you are talking to one person. Writing is not a performance, it's a conversation. So when writing, think of your audience as someone sitting across from you in the same room. This means no jargon or technical terms, no overly long sentences and paragraphs, and no over-explanation or handholding (you know what I mean). Your job as the writer is to get your point across clearly enough that they don't need to ask questions or look things up.

Keep it short and sweet: The shorter your piece is, the more likely it will be read—so keep it short! Don't try to make every sentence sound like Shakespeare by using big words when small ones will do just fine; stick with simple language whenever possible if keeping things concise is important for whatever reason (like saving time for yourself). But don't feel like every single word needs an adjective—sometimes simple really does work best! Just don't overdo it. I will talk more about this in subsequent sections about filler words.

Replace 'I' With 'You' & Restructure

Written communication is less about you and more about the party receiving it. So where you have talked about yourself, replace it with situations where you talk to the other person. You don't get anything for boasting about yourself.

It doesn't mean you don't talk about your achievements but you can sum it up in one or two lines. That should be more than enough!

Identify Filler Words In Your Text

In the speech, filler words are often used as a verbal crutch. A speaker will use them to fill up the time while they think of what to say next, or they may use them to mask nervousness in front of an audience. They can also be useful for people who have difficulty expressing themselves in writing, but when you're writing an email or a social media post where you need to get your point across clearly and concisely, filler words are unnecessary and should be avoided at all costs with some exceptions.

Filler words include:

  • oh
  • umm
  • right
  • uh
  • er
  • ah
  • like
  • very
  • really
  • literally
  • well
  • so
  • actually
  • basically
  • totally
  • seriously
  • okay

Edit & Omit Those Filler Words

Find and Replace: If you're using an editor, Find & Replace feature come in handy. Simply find the word that needs to be replaced and then enter in a new word of similar meaning but less filler or remove it completely. For example, if you want to replace 'there is' with 'it is,' just type in "there" and hit find next to "is." You may have to do this several times for each instance of repeated words, but it's worth it!

Thesaurus: A good dictionary can help you find synonyms for any word or phrase that feels like filler (such as “very” or “quite”). Just do a google search and look up whichever term makes sense for what you're trying to say. You can find different examples and learn new words in the process.

You don't get anything for boasting about yourself.

This caught my attention and I love it!
One way of writing and improving is following some of these tips like checking the thesaurus to find word similar to a particular word so it doesn´t feel like I am adding much filler words in my post and I make sure not to use ambiguous words but short and simple to easily grasp by my audience.

It´s all about my audience now and not about me, even though talking about myself might be short.
